The Paychex HR Online Glossary includes Paychex HR Online terms and definitions for:

Change Event Wizard

A tool located in administration | Employee Compensation | Salary/Status History that allows users to make current or future dated changes to Paychex HR Online with regards to salary and company level demographic information.

Compa-Ratio

A read-only field located in administration | Employee Compensation | Salary that represents the relation of an employee’s pay rate in comparison to the salary midpoint of the employee’s assigned pay grade.

Corporate Officer Code

A code used to assign an employee’s corporate officer status for workers' compensation. This classification cannot be assigned in Paychex HR Online, but is viewable by clicking Tax Status in administration | Employee Compensation | Salary. The value of this code can only change in the Paychex Preview payroll application.

Data Sync

Data Sync is located in the lower-right corner of the Paychex Preview payroll application main screen and enables data synchronization between the Paychex HR Online application and the Paychex Preview payroll application. It monitors changes in both applications and provides for the synchronization of all fields shared between the two applications without intervention by the client user.

Deduction Code/Description

The code assigned to an employee to signify a deduction or earning code that affects the employee’s pay on a regular basis. These display as line items on the employee’s paycheck. Examples of deductions are garnishments, benefits, and taxes. Deduction codes can be assigned to an employee from either the Paychex HR Online application in administration | Employee Compensation | Payroll Deductions or in the Paychex Preview payroll application. Modifications to the list of available deduction codes can only be modified in the Paychex Preview Payroll application.

EEO

An acronym for the Equal Employment Opportunity government commission. EEO classifications can be assigned to employee records in administration | Employee Information | EEO.

E-Mail Preferences

A table containing a list of all available e-mail notifications available for a particular user. Placing a checkmark next to an event item in the table turns on the e-mail notification for the user. Modify e-mail preferences in administration | Employee Information | E-Mail Preferences and employee | Security | E-Mail Preferences.

E-Mail Setup

A company level mechanism of all available e-mail notification types. Placing a checkmark next to an item in the table turns the e-mail notification on for all users with appropriate access. This screen is located in company setup | Security | E-Mail Setup.

eServices Support Bulletins

A type of notification to Paychex HR Online users with supervisor or administrator level access, from the Paychex HR Online Service Center, regarding application enhancements and scheduled maintenance. If an eServices Support Bulletin is available, it displays on the main screen on the administration tab.

Independent Contractor

The label in the Paychex HR Online application for any individual classified as a 1099 worker (independent contractor). This classification can be set for an individual employee record in administration | Employee Information | Demographics.

LOA

An acronym for Leave of Absence. LOA dates and reasons can be assigned to employee records in administration | Employee Compensation | Status/Position.

Location

A drop-down menu available to assign location information to an employee’s record when multi-establishment reporting is necessary. This field is located in administration | Employee Compensation | Status/Position. The available options for the Location drop-down menu can be modified in company setup | Company Setup | List Setup. This field is not shared with the Paychex Preview payroll application and do not replace Division/Branch/ Department codes.

Notifications

A feature that provides supervisors and administrators with information regarding events that occurred with regard to an employee’s records, or completed employee requests still pending approval. Examples are Time-Off Requests, Benefit Elections, and Reminders. Notifications display in the administration tab.

PTO

An acronym for Paid Time Off. PTO information can be found/assigned to employee records in administration | Employee Information | Attendance/Time-Off.

Payfile

A term used by the Paychex HR Online and Paychex Preview payroll departments when referring to the file that is transmitted to and from the Paychex Preview payroll department each pay period as part of processing payroll.

Payroll Alerts

A notification generates to administrators when a check stub image received by the Paychex HR Online application does not match any current employee record in Paychex HR Online. These mismatches can be caused by items such as name changes or corrections to a social security number that have not been uploaded to Paychex HR Online by the time the check stub image arrives. Payroll alerts can be found in administration | Notifications | Payroll Alerts.

Performance Log

A text field in which supervisors/administrators can enter information/notes regarding an employee’s performance during the year. This performance log can be referenced or printed to assist with the completion of a performance review for the employee. This log is located in administration | Performance Management | Performance Log.

Performance Notice

A template in Paychex HR Online used to create written performance warnings for employees. These can be completed in administration | Performance Management | Performance Notice and viewed by the employee in employee | Performance | Performance Notices.

Preview

The name of the Paychex payroll application to assist with payroll processing.

Time-Off Summary

This portion of the Paychex HR Online “Attendance/Time-Off” screens displays the time-off balance and accrual data populated from the Paychex Preview payroll application. These accruals feed to Paychex HR Online and display as a read-only field in administration | Employee Information | Attendance/Time-Off.

Workers' Comp Code

A numeric value associated with a position in a company that classifies workplace risk and exposure. This code determines the rate paid by a company for workers' compensation insurance. This code can be associated to an employee record by the Tax Status link in Paychex HR Online in administration | Employee Compensation | Salary. The options available in this field can only be modified through the Paychex Preview payroll application.
